Participants acknowledge that delegates may be minors under the age of majority pursuant to British Columbia law. Parent(s) or legal guardian(s) shall provide consent on behalf of any minor delegate.
Delegate registration fees are $15 prior to October 1, 2025, and $20 thereafter. All registration fees are non-refundable under any circumstances, including withdrawal, illness, or inability to attend.
Participants shall comply fully with the NVMUN Code of Conduct, including prohibitions on disruptive behaviour, harassment, discrimination, bullying, possession or use of alcohol or controlled substances, unauthorized use of artificial intelligence, plagiarism, academic dishonesty, and failure to attend committee sessions. Use of technology — including but not limited to laptops, tablets, mobile devices, and software — is permitted solely for educational, research, and conference‑related purposes. Any use of technology for non‑educational, malicious, commercial, or illicit activities (including cheating, unauthorized access, harassment, or distribution of prohibited content) is strictly prohibited and shall constitute a breach of this Code, subject to disciplinary action up to and including immediate removal from the conference and notification of relevant authorities. Violations may result in immediate removal; law enforcement may be notified for criminal behavior.
Delegates and their parent(s)/guardian(s) acknowledge that attendance involves inherent risks, including personal injury, illness (including COVID-19), or loss/damage of property. Delegates hereby release, waive, and hold harmless NVMUN, its officers, employees, volunteers, and the host venue from any and all claims, except to the extent caused by gross negligence or willful misconduct.
Delegates authorize NVMUN to seek emergency medical treatment as deemed necessary. All costs not covered by BC MSP or private insurance, including ambulance fees, shall be the responsibility of the parent(s)/guardian(s). Emergency contact information must be provided at registration.
Delegates consent to photographs, video recordings, or other media for promotional purposes for current or future iterations of the NVMUN conference. Delegates may not opt out. Personal data and media will be stored for a maximum of one year post-conference and then securely deleted.
All delegates who are minors must be accompanied at the conference by a responsible adult chaperone designated by the parent/guardian or the school. Chaperones are expected to supervise the minor delegate during the conference, ensure compliance with the Code of Conduct, and be reachable by event staff or emergency services if needed. Failure to have an appropriate chaperone present may result in denial of participation or removal from the conference.
This Agreement shall be governed by and construed in accordance with the laws of British Columbia and Canada. Disputes shall be subject to the exclusive jurisdiction of the courts of British Columbia.
By checking the acceptance box on the registration form and entering a full legal name, delegates affirm they have read, understood, and voluntarily agree to be bound by this Agreement. Parent/guardian consent is required for all minors. Checking the box constitutes a legally binding digital signature.
